How your information is handled in the Axis Driver app

This policy explains how personal data is handled in Axis Driver (“the app”), the mobile app for professional drivers that forms part of the Axis road-transport compliance platform. The app and platform are provided by Transport Compliance Systems Ltd, trading as CompliHaul (“we”, “us”, “our”).

1. Your operator and our role

You use Axis Driver because your employer or the operator you drive for (your transport manager) uses the Axis platform to manage road-transport compliance. In most cases your operator is the data controller for the compliance records created about you (walkaround checks, timesheets, training, licence and document records), and we act as their data processor, providing and operating the platform on their instructions. For the technical operation and security of the app itself (for example, account and diagnostic data), we act as controller. If you have questions about how your compliance records are used, please also speak to your transport manager.

Employment & complianceThe operator you work for; driving licence and Driver CPC details; tacho card and medical record status; documents you upload (such as licence, CPC, tacho card, medical); daily walkaround checks and defects; shifts and timesheets; training completions; acknowledgements and electronic signatures.
Photos & cameraWith your permission, the app uses your device camera to let you capture photos of documents, vehicle defects or your profile picture. The camera is used only when you choose to take a photo.
LocationWith your permission, the app records your device location at the moment you submit a walkaround, start or end a shift, or report an issue — as proof of presence for compliance. Location is captured only at those specific moments while you are actively using the app; it is never collected in the background.
Technical & diagnosticApp performance, crash and error information (via our error-monitoring provider) and basic log data, used to keep the app secure and reliable.

The app does not contain advertising, and we do not use your data for advertising or sell it to third parties.

3. How and why we use it

Our legal bases under UK GDPR are: performance of a contract; our and your operator’s legitimate interests in running a compliant transport operation; compliance with a legal obligation; and, for camera and location access, your consent (which you can withdraw in your device settings).

5. Where your data is stored

Data is stored on secure servers in the European region (EU/London). Where any data is processed outside the UK/EEA, it is protected by appropriate safeguards as required by UK data-protection law.

6. How long we keep it

Compliance records are retained for the period needed to meet road-transport record-keeping obligations (typically at least 15 months, and longer where your operator or the law requires), after which they are deleted or anonymised. Account and diagnostic data are kept only as long as needed for the purposes above.

7. Your rights

Under UK GDPR you have the right to access your data and to request its correction, deletion, restriction or portability, and to object to certain processing. As your operator is usually the controller of your compliance records, please raise such requests with your transport manager in the first instance; you can also contact us at admin@complihaul.com and we will help. You also have the right to complain to the ICO (ico.org.uk).

8. Security

We protect your data with encryption in transit, strict access controls, tenant-level data isolation and other technical and organisational measures appropriate to the sensitivity of the information.

9. Children

Axis Driver is a workplace tool intended for professional drivers aged 18 and over. It is not directed at children and we do not knowingly collect data from anyone under 18.

We may update this policy from time to time. Any changes will be posted on this page with a revised “last updated” date.
